1834 Hotels had already invested in Microsoft 365 Copilot and was encouraging its teams to experiment with AI. The next opportunity was bigger: helping owners, General Managers and leaders understand how AI could move beyond individual prompts into the everyday operating rhythm of a hotel.
Caroline Kennedy designed a practical AI keynote specifically around 1834 Hotels' operating environment, combining leadership thinking, hospitality examples, audience participation and live AI demonstrations.

The Brief
1834 Hotels wasn't starting from zero.
The organisation was already using Microsoft 365 Copilot and exploring how AI could be applied more effectively across hotel operations.
The opportunity was to move beyond awareness and individual experimentation into practical application, helping owners, General Managers and leaders understand where AI could support decision-making, productivity, communication and operational efficiency.
Caroline designed the keynote around a simple objective: make AI relevant to the work leaders were already doing and show them practical places to start.
From AI access to practical application
Access is not adoption. Adoption is not value.
1834 had already made the technology decision.
People were already experimenting with AI across activities such as emails, meetings, marketing, budgeting, rostering and operational planning.
So Caroline deliberately didn't deliver another introduction to AI or a catalogue of new tools.
Instead, she reframed the question:
How do we move from using AI to systematically improving how a hotel operates?
The keynote was built around three moves:
CONNECT
Bring the right approved organisational context together.
ANTICIPATE
Use AI to prepare, monitor and surface what matters before it becomes urgent.
DECIDE
Use human judgement, verification and accountability to turn AI output into action.
Designing the keynote around the business
Caroline's preparation went beyond researching the hotel industry. She worked closely with the 1834 Hotels team before the conference to understand the organisation, its general managers, its current use of AI and the realities of hotel operations.
That meant the audience wasn't being shown what AI could theoretically do for somebody else's business.
They could see it through work they already recognised: management briefings, guest communication, rostering, commercial analysis, meetings and recurring management decisions.
What Caroline Kennedy Delivered
01 · FROM PROMPTS TO BETTER BRIEFINGS
Prompting is briefing.
Rather than teaching “magic prompts”, Caroline reframed prompting as a leadership skill.
A useful AI request should contain the same things a good handover or executive brief would contain: what is happening, what needs to be done, who it is for and what good looks like.
The principle was simple:
Stop typing requests. Start doing handovers.
The final presentation then demonstrated how the same question, “What should I prepare for tomorrow?”, changes when AI has access to approved organisational context such as meetings, emails, files and previous commitments.
02 · FROM INFORMATION TO CONTEXT
Giving AI the context surrounding a decision.
Caroline showed how AI could help a General Manager prepare for upcoming decisions by bringing together information that would otherwise sit across calendars, correspondence, Teams, documents and business data.
The point wasn't a better summary.
It was reducing the time spent finding information so leaders could spend more time interrogating it and deciding what to do.
The keynote posed a question to the audience:
What recurring decision would improve if the right information arrived before you had to look for it?
03 · FROM REACTIVE WORK TO ANTICIPATION
What if the work happened before somebody remembered to ask?
The keynote then moved beyond one-off prompting into recurring preparation.
Caroline demonstrated how AI could be given defined work to undertake repeatedly: review information, identify what had changed, surface unresolved issues and prepare what required management attention.
This changed the conversation from:
“What can I ask AI to do?”
to:
“What recurring work should already be prepared before I need it?”
The underlying idea was that AI could become part of the operating rhythm of the business rather than another application someone had to remember to open.
04 · AI AGENTS FOR REAL BUSINESS WORK
Giving recurring work a job.
Caroline demonstrated AI agents applied to practical management work, including email triage and commercial analysis.
Rather than presenting agents as futuristic technology, she connected them to familiar management needs: finding what requires attention, preparing information and surfacing issues for a leader to examine.
The human didn't disappear.
The preparation moved.
05 · BETTER DECISIONS, NOT JUST FASTER OUTPUT
Schedule preparation, not judgement.
The more AI can prepare, analyse and surface, the more important it becomes to define where human responsibility begins.
Throughout the keynote, Caroline returned to verification, judgement and accountability.
AI could help find information, identify anomalies, analyse patterns and prepare options.
But material decisions still belonged to the leader.
Technology prepares. People judge. Leaders remain accountable.
Protecting what makes hospitality human
The central thesis was:
Put intelligence backstage, so human attention can stay front of house.
Caroline challenged the assumption that the objective of AI should simply be removing people from work.
In hospitality, some of the highest-value moments depend precisely on human attention, judgement, empathy and presence.
The opportunity is therefore not simply to ask:
What can AI replace?
But:
What work can AI remove or prepare so people have more capacity for the things humans do particularly well?
The keynote described the future worth creating as “not hospitality with fewer people, hospitality with less friction”, with technology operating quietly behind the scenes while employees remain present with guests and teams.
From inspiration to action
So Caroline ended with a deliberately small implementation commitment:
- ONE CONSTRAINT.
- ONE WORKFLOW.
- ONE OWNER.
- THIRTY DAYS.
Rather than attempting an organisation-wide AI transformation after one conference, leaders were challenged to identify one recurring piece of work, test a better way of doing it and measure whether it improved the result.
